About the Role
We are seeking a detail-oriented and highly organizedSupply Chain Coordinatorto support customer service, order fulfillment, invoicing, third-party cold storage operations, transportation coordination, and inventory management. This position plays a critical role in ensuring customer orders are processed accurately, inventory is properly managed, shipments are coordinated efficiently, and customers receive exceptional service.
This position reports directly to theSupply Chain Managerand works closely with Sales, Production, Quality Assurance, Accounting, customers, brokers, carriers, and third-party logistics providers.
This is afast-paced, high-volume positionthat requires exceptional organizational skills, the ability to manage multiple priorities simultaneously, and the ability to make sound decisions in a dynamic environment. The successful candidate must be proactive, customer-focused, and able to respond quickly to changing priorities while maintaining a high level of accuracy.
Key Responsibilities
- Process customer purchase orders accurately and enter them into the ERP system.
- Coordinate product releases from third-party cold storage facilities based on customer purchase orders.
- Schedule transportation and obtain freight quotes from approved carriers.
- Coordinate shipments with carriers, customers, brokers, and third-party cold storage facilities.
- Monitor inventory levels and inventory accuracy across multiple 3PL warehouses.
- Assist in reconciling inventory discrepancies with third-party warehouses.
- Review and verify third-party inventory reports.
- Prepare and process customer invoices accurately and in a timely manner.
- Provide exceptional customer service by responding promptly to customer inquiries and shipment requests.
- Prepare and distribute shipping documents, customer forms, and required documentation.
- Coordinate customer sample requests and ensure supporting documentation is completed.
- Communicate regularly with customers, brokers, carriers, and warehouse personnel regarding shipment status and inventory availability.
- Follow up with third-party cold storage facilities to ensure releases, inventory requests, and other pending tasks are completed on schedule.
- Maintain accurate shipment, inventory, and customer records.
- Assist the Supply Chain Manager with inventory reconciliation, reporting, KPI tracking, and continuous improvement initiatives.
- Support cross-functional teams to ensure efficient order fulfillment and customer satisfaction.
Qualifications
- Associate's or Bachelor's degree in Supply Chain, Business, Logistics, Operations, or a related field preferred.
- 2+ years of experience in supply chain, logistics, customer service, inventory management, or order fulfillment.
- Experience working with third-party logistics (3PL) providers or cold storage facilities is preferred.
- Strong organizational skills with exceptional attention to detail.
- Excellent communication and customer service skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving skills and the ability to make timely decisions.
- Proficiency in Microsoft Office, particularly Excel.
- Experience with ERP systems such as NetSuite, Produce Pro, or similar is preferred.

- Food manufacturing, food distribution, or cold chain logistics.
- Transportation coordination and freight scheduling.
